Provides high-quality administrative and coordination support to the CEO and Executive Office, ensuring smooth execution of Board and leadership processes. This role focuses on precision, reliability, and strong coordination, supporting the effectiveness of the Executive Office.
1. Board & Leadership Coordination
• Support planning and coordination of Board and Executive Leadership (ELT) meetings.
• Prepare agendas, compile papers, and manage meeting logistics.
• Take accurate minutes and ensure timely distribution.
• Track action items and follow up with departments for updates.
2. CEO Administrative Support
• Manage CEO's calendar, scheduling meetings and engagements efficiently.
• Coordinate travel arrangements (flights, accommodation, itineraries).
• Prepare basic briefing materials and meeting documents.
• Support handling of correspondence and documentation.
3. Strategic Tracking Support
• Assist in tracking progress of organizational priorities and initiatives.
• Compile updates and maintain tracking dashboards or reports.
• Support preparation for leadership meetings, retreats, and reviews.
4. Executive Office Operations
• Maintain organized records and filing systems.
• Coordinate logistics for Executive Office activities and events.
• Support visiting stakeholders and executives.
5. Collaboration & Support
• Work closely with P&C, Communications, and departments on coordination matters.
• Support team members and contribute to a collaborative working environment.
• Bachelor's degree in Business Administration, Communications, or related field.
• 3–5 years of experience in administrative or executive support roles.
• Strong organizational and coordination skills.
• Good written and verbal communication skills.
• High attention to detail and ability to manage multiple tasks.
